Description
Conservation International (CI) is looking for a Senior Coordinator for the Global Change and Ecosystems Services (GCES) program within our Science & Knowledge division. The Senior Coordinator plays an important role in supporting operations for GCES by providing high level support to the program’s Vice President (including research and travel arrangements) and administrative and operational support to 25 staff members in the group. The Senior Coordinator is responsible for contract and small grants management, invoice payment to vendors and issuing of and reimbursement of travel grants. In addition, the Senior Coordinator is also responsible for all in-house logistics; procurement; processing of administrative transactions; coordination of special events, meetings, and workshops. The GCES Senior Coordinator will maintain and manage administrative and scientific information and content for the program. The Senior Coordinator will provide support with HR processes and IT requests. This position involves dealing with some confidential information and maintaining confidentiality and professionalism are essential.
RESPONSIBILITIES:
  • This position will provide high level support to the VP including, but not limited to coordination of travel arrangements; research of scientific publications; logistics for events (internal and external), and file management.
  • Administrative and Operations: The general support to 25 program staff will include all in-house logistics, sporadic travel arrangements, coordination of internal and external meeting, workshops, and special events. Maintenance of administrative and scientific information for the GCES group. Processing of general administrative paperwork for appropriate routing and signature including invoice for vendors, travel reimbursements andtimesheets. The Senior Coordinator will provide support to the Finance and Operations Sr, Manager processing and submiting reclasses, tracking group’s telecommunications and rent, among other duties.
  • Agreements Management: Manage and monitor travel grants and consultancy and small agreements (via GEM) to ensure agreementsare valid, spending limits respected and required reports have been submitted and approved, following CI’s policies and procedures.
  • General Office Management and HR: Support and coordinate with the S+K Manager, Operations with documentation for new hires, interns and, work-studies. Support the annual performance appraisal process by collecting completed forms and meeting deadlines, and set up office space and help with office moves. Process IT requests for computers, network connectivity, and telephones. Other general administrative duties as assigned to manage the day to day functioning and interaction of GCES staff.

QUALIFICATIONS:
Required:
  • Two to four years work experience
  • Demonstrated ability to quickly understand, follow and improve internal processes
  • Excellent organizational and communications skills with an emphasis on details
  • Ability to work well in a team setting across cultures and institution
