Main Roles & Responsibilities

ADMINISTRATION SUPPORT: 

  • Handling contracts.  

  • Administering financial processes.  

  • Organizing logistics before, during and after in-person and virtual meetings. 

  • Supporting travel arrangements. 

  • Acting as central point of contact for external correspondence by mail, phone or e-mail. 

  • Supporting the bi-annual appointment process of PSC members.  

  • Duly filing relevant documents and organize the filing system. 

  • Additional tasks as agreed with the Director Policy Operations. 

 

PROGRAMME SUPPORT: 

  • To support PSU programmes and specific projects by the following activities as far as the primacy of administrative affairs allows and in coordination with the Director Policy Operations:  

  • research; 

  • administering databases; 

  • preparing, editing and disseminating communication materials and technical documents; 

  • preparing, conducting and following-up on meetings and events; 

  • support the liaising and coordination across FSC departments; 

  • administering and handling information requests by stakeholders.

Qualification, Experience and Skills

Education and Training: 

  • Vocational training or equivalent in a commercial occupation, qualification in office management, or degree in a relevant field, for example, languages. 

Working Experience, Style and Skills:  

  • At least 2 years of working experience in administration and/or office management (e.g. companies, public sector or NGOs). 

  • Good organizational skills. 

  • Ability to perform well while handling simultaneously a number of administrative and supportive functions. 

  • Solution and service-oriented attitude to work. 

  • A strong sense for diligence and accuracy. 

Languages: 

  • Fluency in English (spoken and written).  

  • Good command of Spanish and/or German is a plus. 

Computer Skills – good skills in the use of/experience with:  

  • The use of standard software packages (MS Office), especially Excel and Word.  

  • Adobe Acrobat 

  • Microsoft Teams and Sharepoint document libraries.

Communication Skills: 

  • Ability to establish and maintain positive interpersonal relations.  

  • Good verbal and written communication skills 

  • Active-listening skills.
