Description

Our New York office, Climate Analytics Inc., provides consistent support across climate and development related processes, with a focus on empowering SIDS and LDCs’ diplomats, including Ambassadors, to enhance their impact in negotiation processes. Our New York office also focuses on implementation activities and climate finance access and capacity building support in the Caribbean region and in other regions in close collaboration with other Climate Analytics’ offices. Climate Analytics Inc. partners up with US-based organizations, foundations and academia, to further advance climate science, climate policy research and analysis and concrete action on climate change.

Job description

We are looking for a committed employee to fill the position of Office Manager and Administrator to support our growing New York office which currently has 4 employees.

Tasks and responsibilities of Office Manager and Administrator:

    • You are responsible for the relaxed and smooth operation of our New York office, the ordering and maintenance of our technical equipment, supplies and hardware.
    • You support the logistical planning and booking of national and international trips and activities of our New York team
    • The organisation of our external and internal events is completed by you. This includes ordering catering and booking venues and preparation of the rooms and AV equipment for our various seminars and workshops.
    • You coordinate with the Global Finance Team based in Berlin to provide information on office expenditure, invoicing and income, providing necessary documentation and maintaining the filing and assisting with expense claims.
    • You support the New York office and the Global Finance team with tracking finances for projects and for budget development for proposals.
    • You keep the general office calendar up to date and take on general tasks such as scheduling and organising appointments, meetings, other staff activities and preparing background documents. In particular, organizing weekly team meetings and preparing minutes to update the Global Team.
    • You are the main contact for our external tax accountant, lawyers and insurance providers to ensure all necessary documents required for the running of the company are filed on time.
    • You act as a liaison with our Human Resources Department based in Berlin and our professional employer organisation (PEO) company.

 

Your profile

You ideally have the following qualifications:

    • Training in office management or an equivalent qualification, with administrative/ professional experience or a relevant equivalent.
    • Training in basic accounting is a plus.
    • Ability to keep an overview of office operations and work in a structured and independent manner.
    • Strong working proficiency with Microsoft Office, especially Excel, is required.
    • Ability to communicate efficiently with individuals from all levels of the organisation in a multicultural environment.
    • Excellent written and verbal communication skills. Our working language is English. German, French and/or Spanish are a plus.
    • Strong organisational skills with attention to detail, ability to prioritise and multitask is required.
    • Strong work ethic.

Terms: Currently we can offer a 6-month full-time contract. There is a prospect of extension based on performance and funding and we are interested in long-term cooperation.
