Rare has trained 150 local conservation leaders implementing dynamic change processes in 40 countries. These “campaign managers” work for the largest and the smallest conservation organizations globally, including The Nature Conservancy, WWF, and Conservation International. 

Job Description:
The Office Coordinator for Guadalajara will provide programmatic support for the Rare’s Latin America team and several project partners for the implementation of the Mexico-based Pride program.  The primary responsibilities are to support day-to-day program operations which include communications, information management, writing and publications, event coordination, and arranging logistics and travel for meetings and workshops. 

Areas of Responsibility and Performance Expectations:

Administration (50%):

  • Maintain and manage the day-to-day operations of the Rare Guadalajara office which includes mail distribution, copying, burning CD’s, express packages, and purchasing office supplies.
  • Organize meetings, monthly conference calls and travel plans for the Director and team members; support travel & logistical arrangements for campaign managers at the University in Guadalajara (airline tickets, lodging, ordering books stipends, payments in general)
  • Manage vendor relationships and negotiate discounts for abovementioned travel and meeting events (hotels, restaurants, and meeting venues)
  • Assist the Director in the completion and review of Pride Project budgets, as well as compiling and reviewing monthly expense reports
  • Manage and organize digital and hardcopy files for the program (Rare’s factsheet/informational materials, project plans, final reports, campaign materials, program applications)
  • Update and maintain databases/information management (photos, slides, contacts, monthly reports)


Communications, Writing, and Publications Preparation (30%):

  • Communicate with Rare program staff worldwide, local agency partners, and international partners as needed and requested
  • Type and distribute correspondence as assigned including letters, minutes, and memos
  • Type and distribute minutes from conference calls and other meetings
  • Translate documents on an as needed basis from English to Spanish
  • Coordinate holiday and other monthly/quarterly mailings to Pride partners
  • Assist in the compilation of board reports and progress reports to partners
  • Assist in PowerPoint and other types of presentation preparation, as well as updating Pride program Pdf files to share with local partners

Pride Curriculum (20%):

  • Assist with the collection and compilation of Pride Campaign data 
  • Assist in the translation and editing of teaching program documentation

Qualifications:

  • Bachelor’s degree, preferably in business administration, public relations, marketing or conservation fields3+ years work experience in a fast paced organization; experience in social marketing or nonprofit arena a plus
  • Highly organized, detail oriented, professional and proven ability to multi-task
  • Interest and knowledge in environment, nature conservation, community development issues,  helpful
  • Excellent written and oral communications skills in both English and Spanish are essential
  • Ability to work independently and as part of an international and multi cultural team
  • Competent using MS Word, Excel, PowerPoint, Access, EndNotes, Outlook Internet
