Vacancy – Water Footprint Network

Position:        Management Assistant

Start Date:    1 October 2015

The Water Footprint Network is seeing an energetic, detail-oriented, quick-learner who take initiative, has a can-do attitude and a passion for our work to join our team as a Management Assistant.  S/he will provide administrative support to the WFN team and assist the Executive Director with administrative, financial, organizational and operational matters.

 

 

 

Major Duties and Responsibilities:

 

Administrative: the Management Assistant will provide general office support for a team of 10 people including answering phones and routing calls, managing WFN’s email inbox and responding to and forwarding emails as needed, managing team calendars and providing meeting support including scheduling, logistics, audio/visual setup, refreshments, note taking and post-meeting follow-up, preparing correspondence, providing travel planning support for team members, handling printing, copying, etc. both internally and externally, managing holiday and travel calendars for all staff, recordkeeping of key activities undertaken by team members for reporting purposes and other administrative tasks as required.

 

Finances: the Management Assistant will be responsible for all incoming and outgoing invoices and will accurately enter all income and expenses in the online bookkeeping system (Exact Online), will review and process all expense claims to ensure timely payment, will provide support on contract management including maintaining hard and soft copy records systematically for ease of sharing and scheduling invoicing, will maintain files for the accountant and auditor and provide support in the audit of WFN files, assist in the preparation of budgets, budget overviews and other financial reporting and additional financial tasks as needed.

 

Organizational: the Management Assistant will be a vital part of the team, participating in team meetings and ensuring that the team’s functions are smooth and efficient, will be responsible for maintaining and keeping up to date the partner and newsletter databases, supporting partner communications and engagement, ensuring that all communications with external parties are handled professionally and in a timely manner, maintaining a calendar of training and other meetings and other tasks supporting organizational aims of WFN.

 

Operations: the Management Assistant will be responsible for maintaining a smooth working environment in the office ensuring that necessary office supplies are in stock, scheduling repairs and maintenance of office equipment, etc., being the point of contact for the Landlord regarding maintenance and other building related issues, providing support on internet and communications issues and their resolution and other operations tasks as needed.

 

Publications and Presentations: the Management Assistant will assist project staff with formatting of reports and presentations using WFN templates, will support the

 

 

Communications Specialist on editing reports, communications with the designer and printer will assist in preparing the annual review and annual report, as well as other organizational reports.

 

Executive Assistance: the Management Assistant will provide administrative support to the Executive Director including managing her calendar, completing expense claims, composing and preparing correspondence; arranging detailed travel plans, itineraries, and meeting agendas, preparing meeting and travel packets with relevant documents, preparing powerpoint slides and other supporting functions as needed.

 

Qualifications

  • ?Applicable practical and educational experience with a minimum 5 years of relevant experience (such as management assistant, office administrator, secretary);
  • Excellent interpersonal, written, and oral communication skills with fluency in both English and Dutch;  
  • Strong IT skills including in-depth experience with Microsoft Word, PowerPoint, SharePoint, Excel and Outlook, experience in database management preferred;
  • Experience in establishing effective office systems and procedures;
  • Strong organizational and time management skills;
  • Accuracy and attention to detail;
  • Strong team work skills and the ability to work effectively with all personalities;
  • Success in meeting tight deadlines and often without close supervision;
  • Ability to work in a multi-cultural team and respect for differences;
  • Passionate desire to contribute to the Water Footprint Network’s mission;
  • Legal permission to work in The Netherlands.

 

 

Offer

 

The position is offered initially for one year, with possible extension. Salary is dependent on the experience and qualifications of the candidate. The salary is based on a workweek of 40 hours.  Preferred start date of the job is on or before 1st October 2015. The job will be located in The Hague (Den Haag), The Netherlands.
