ESSENTIAL FUNCTIONS
The Forever Costa Rica Executive Assistant performs a variety of administrative tasks to support the development of the Forever Costa Rica (FRC) fundraising campaign, which include budget preparation, travel arrangements and meeting logistics, scheduling, reporting and tracking information for management.  Specific duties will include:

? provide direct support to the FCR Project Liaison
? serve as communication focal point, keeping track of all project documents, changes to the documents, marketing material, etc.
? support in systematizing the FCR process and documenting all meetings, decisions and project progress
? coordinate all internal meetings and calls
? provide logistical support,
? help draft contracts as needed
? keep track of FCR budget and help prepare quarterly reports
BASIC QUALIFICATIONS
• Bachelor’s degree and 1 year related experience or equivalent combination. 
• Experience with MS Office, including use of the Internet.
• Experience coordinating projects, setting realistic deadlines, managing a timeline, or related.
• Experience working with a wide range of people, such as board of directors, donors, volunteers, the public and/or all levels of staff.
ADDITIONAL JOB INFORMATION
KNOWLEDGE/SKILLS:
• Bachelor’s degree and 1 year related experience or equivalent combination.
• Strong organizational skills and attention to detail.
• Ability to organize time and manage diverse activities.  Meet deadlines.
• Demonstrated experience in MS Office, Word and Excel.  May require database management skills with ability to produce reports.  Ability to use advanced computer functions including navigating the Internet.
• May require fluency in foreign language to support global operations. Specific language(s) may be preferred depending on operating unit.

COMPLEXITY/PROBLEM SOLVING:
• Coordinate multiple projects with several variables, set realistic deadlines and manage a timeline.
• Resolve routine problems independently.
• May act as a resource to others to solve problems.

DISCRETION/LATITUDE/DECISION-MAKING:
• Make day to day decisions within the scope of work assignments.
• Consult with supervisor to address any issues that affect the work of others or the program as a whole.

RESPONSIBILITY/OVERSIGHT – FINANCIAL AND SUPERVISORY:
• May purchase equipment and supplies as provided for in budget and in consultation with supervisor.
• May supervise administrative staff and/or volunteers, interns or temporary staff.

COMMUNICATIONS/INTERPERSONAL CONTACTS:
• Communicate with internal and external contacts to seek or convey information and coordinate arrangements.
• Work with and communicate effectively with a wide range of people including employees, the public, vendors and others.
• Provides a variety of information to staff and others to assist workflow throughout the organization.
• Familiarity with standard business communications; ability to draft and edit correspondence and other written materials.

WORKING CONDITIONS/PHYSICAL EFFORT:
• Work requires only minor physical exertion and/or strain.  Work environment involves only infrequent exposure to disagreeable elements.
