Qualifications
- University degree or college diploma.
- 3 to 5 years relevant experience with a charity organization.
- Familiar with Canadian Revenue Agency and charitable status.
- Proficient with computers (Microsoft Word, Excel, internet and web resources...).
- Strong written, verbal, organizational and interpersonal skills.
- Ability to work independently and as part of a team.
Duties and Responsibilities
DAILY
- Answer and respond to all incoming telephone calls and fax messages.
- Review all e-mail and respond or direct appropriately based on current communications directives.
- Maintain office equipment (telephone, fax, backup systems, files...).
WEEKLY
- Visit post office to retrieve and post mail, and to coordinate and receive deliveries as required.
- Make bank deposits and wire transfers to Costa Rica as required.
- Maintain manual and computerized information filing systems.
MONTHLY
- Process monthly invoices (telephone, storage, insurance, membership fees, administration, bookkeeper, accountants).
- Reconcile all banking statements and make updates or contact banks for corrections or confirmations as required.
- Arrange and notify Board of upcoming Board of Directors meeting. Prepare and distribute agenda and meeting minutes.
- Process donations and issue tax receipts and thank you letters.
QUARTERLY
- Provide Bookkeeper with all financial paperwork to prepare financial statements for Board.
- Assist Chair and Raphia Editor in the production, editing and electronic distribution of Raphia.
- Provide Raphia articles as required.
ANNUALLY
- Assist Chair in meeting By-law requirements for Annual AGM posting and meeting.
- Book facility and arrange for food and COTERC table and staffing.
- Ensure proxies and financial statements available.
- Review Liability Insurance policies and recommend any relevant changes and payment. Distribute details to Board.
- Work with Bookkeeper, Accountant and Board to ensure annual filing with CRA (Canada Revenue Agency) is completed on time and in compliance.
- Work with Board of Directors to ensure annual filing in Costa Rica is completed in a timely manner.
AS REQUIRED
- Arrange for retrieval and filing of items in storage unit as required.
- Assist with or initiate fundraising activities.
- Post job descriptions when required (i.e. station manager, directors) and assist with selection process.
- Deal with Archives Canada in quarterly Raphia filings and ISBN postings and filings.
- Attend on line or remote training if applicable to our needs.
- Provide grant writing when appropriate.
- Ensure remote services are password protected and updated when required.
- Coordinate printing and supplies of letterhead, envelopes, brochures and business cards.
Working Conditions
Position requires 10 hours of work per week out of a home office. Payment is $1,000 per month. Successful applicants should live in or near Pickering, Ontario (to be close to post office box, storage locker, banks, etc.)
