SeaWeb seeks a Development Associate to be based in its Washington, D.C. area office. This is a full-time position with a generous benefit package. The anticipated start date is the end of June 2011.

Position Summary: The Development Associate will support all fundraising initiatives in a fast-paced, globally-focused environmental non-profit. This position reports to the President and supports the fundraising and donor management activities of the organization. The Development Associate will have direct responsibility for ensuring that the donor/gifts management process is effective, efficient and accurate. The Development Associate will have primary responsibility for managing the donor management system, tracking donations, processing gift acknowledgements and payments, mailings, supporting event fundraising activities, conducting prospect and donor research and serving as a grants management liaison to the organization's program directors. Grant and report writing is also required.

Core responsibilities:

  • Assisting the program staff, Development Advisor and President with all aspects of the submission of proposals and reports to donors, including writing and editing content for these pieces
  • Supporting grant administration by organizing and maintaining grant administrative files (letters of interest, proposals, award acceptance correspondence, reports, summary sheets) and master calendar for proposals and reports
  • Preparing briefing documents for the President and Development Advisor to prepare for solicitations
  • Assisting the Development team in researching new prospects and cultivating current donors using Wealth Engine, Foundation Search and other software and online research tools
  • Assisting the Development team in the submission of accurate and timely management reports
  • Organizing and maintaining Development files and internal records
  • Creating and maintaining administrative forms and spreadsheets for grant tracking purposes
  • Assisting the Development team with scheduling meetings and sending out mailings, external correspondence and communications to donors
  • Working with the Development team, execute several small-scale major donor events (~20-100 guests), including managing invitations, RSVPs, catering, and follow-up correspondence
  • Organizing and maintaining electronic and hard files and internal records for the Development Team
  • Maintaining current, comprehensive data on organizational funders by managing electronic database of fundraising records, donor history and gift acknowledgements
  • Monitoring grants management and sponsorship fulfillment for key conferences and workshops
  • Working with the Finance Department to ensure financial reports are completed and incorporated as part of grant management responsibilities
  • Working with communications team and Webmaster to coordinate the donor-related activities on the website and email based solicitations
  • Managing logistics for SeaWeb Board of Directors meetings, including location identification, audio-visual needs, and material preparation
  • May be called on to take Board minutes and assist with editing them for official record
  • Communicating with members of the Board of Directors regarding scheduling and other related matters
  • Assisting with logistics for Board of Directors' Fundraising Advisory Committee
  • Supporting all other Development-related tasks as needed

Requirements:

  • A Bachelor's degree and previous work experience (at least 2 years) in the fundraising field is preferred
  • Excellent and proven analytical skills, and strong written and verbal communication skills
  • A well-organized, confident individual and a strong and effective communicator, with the ability to juggle many responsibilities and work well within strict deadlines
  • Detail orientated and is a self-starter with the ability to use good judgment in establishing priorities for independent work and in scheduling for the President
  • Desire and ability to maintain a high standard of ethics and to uphold organization's policies in all job-related activities, especially in regard to confidential information is required
  • Excellent computer skills including knowledge of Mac systems, Microsoft Office, Word (including Mail Merge), Excel, PowerPoint, Mail, I-Calendar and Internet research
  • Experience with operating a fundraising database management and should be an energetic and enthusiastic individual with a passion for ocean conservation, completely comfortable in fast paced, forward thinking environment with a willingness to be an integral member of the Development team
  • Willingness to work a flexible schedule and occasional participation in evening and weekend work would also be expected
  • Ability to work successfully under remote supervision is also required
