As part of the Development Division, the Coordinator of Special Events plays an integral role in the execution and planning of Conservation International’s gala fundraising dinners and Board of Directors meetings. The primary responsibility of this position is the management of logistics related to CI’s gala fundraising dinners and board meetings. This position demands a high level of organizational skill, keen attention to detail, flexibility in high-stress situations and the ability to work effectively in a fast-paced environment.
RESPONSIBILITIES:
- Coordinate event logistics and on-site management for 4-5 fundraising galas each fiscal year. This position is responsible for the planning and execution associated with each event including, but not limited to, venue selection, contract negotiations, caterer selection, design, and on-site management.
- Responsible for coordinating the logistics for three Board of Directors meetings each fiscal year. This includes, but is not limited to, hotel selection, contract negotiations, vendors, and meeting-related social events. This position will work with CI’s Chairman’s Office on the planning and execution for each meeting.
- Assist the Manger of Special Events and the Senior Director of Communications in working with CI’s event production team to ensure the smooth execution of the galas. This position will coordinate with the production team on logistical matters both in the planning stage and on-site at each event.
- Coordinate event logistics for the Women’s Conservation Forum luncheons. This position is responsible for managing the venue, caterer, and related contracts for this lecture/lunch series that takes place three times each fiscal year.
- Responsible for coordinating event budgets for each gala to ensure efficiency and cost-effective practices. This position will also assist the Manager of Special Events in the team’s budgeting process each fiscal year.

WORKING CONDITIONS:
- Based in Arlington, VA
- Office environment
- The position requires additional, non-standard working hours as needed for event travel
- Travel for 6-8 domestic events, Board of Directors meetings and planning visits each fiscal year; potentially 1-2 international trip(s) each fiscal year
QUALIFICATIONS:
Required:
- 3 years of related experience
- Positive, “can-do” attitude, flexibility, and teamwork; high degree of initiative
- Strong verbal communications
- Strong organizational skills
- High level of attention to detail and multi-tasking
- Ability to work independently and as part of a team
- Experience in reviewing and negotiating contracts
- Ability and willingness to travel
- Ability to thrive in a fast paced environment
Preferred:
- Bachelor’s degree
- Prior work in the conservation field
- Experience with ‘green’ or sustainable events/meetings
- Experience planning international meetings
