This position will coordinate the activities of the Conservation Priorities & Outreach (CPO) department in the Science + Knowledge Division (S+K). This position supports the department staff in a variety of capacities and is integral to the success of the department. The position includes financial, administrative and programmatic responsibilities, as outlined below.
RESPONSIBILITIES:
CPO Financial Management:
- Coordinate and implement budget and expense tracking procedures for the department and ensure that the department is on sound financial footing.
- Report financial information to the Vice President, CPO regularly.
- Facilitate the development, proposal, and tracking of grants and consulting agreements.
- Participates in the creation, development and review of Program proposal budgets to ensure accuracy with donor requirements and CI policy and procedures
- Help ensure that donor funds are fully spent, on time and within budget, and in compliance with CI policies & procedures and donor guidelines.
- Maintain regular communication with the S+K Executive Team regarding budget, expenses and proposals.
CPO Department Logistics
- Support all travel needs including booking flights, securing visas and monitoring travel expense reporting. Coordinate special events, regular department meetings, and technical workshops.

- Coordinate department performance measure reporting, work plans, and liaise with HR and IT.
CPO Communication & Programmatic Work
- Assist with editing and translation of documents and correspondence as needed, and assist with library research and organization of departmental libraries.
- Assist with CPO technical work (priority setting, monitoring, the Global Initiatives, etc.)
Species Team Coordination
- Coordinate logistics for CI’s Species Initiative, including regular meetings of the cross-divisional Species Team, team membership, and email list.
- Work with the Vice President, CPO, who leads the Species Team, to actively engage participation of Species Team members and other staff.
- Provide logistics support to the Species Team in developing and implementing strategy for the Species Initiative, including administrative work and some writing, facilitation of grant proposals, and development of communications materials.

QUALIFICATIONS:
Required:
- High competence and minimum 2 years of work experience in administration or financial management or a related field;
- Highly competent in financial management;
- Highly organized and motivated;
- Able to handle complicated administrative tasks, often under time pressure;
- Able to work independently and as a team member;
- Able to maintain confidentiality and understand when it is required;
- Proficient with Microsoft Word and Excel;
- Excellent written and oral communication skills; and
- Undergraduate degree in business/administration, biology/environment/international studies/development, or other appropriate field.
Preferred:
- Ability to communicate in Spanish, French and/or Portuguese;
- experience travelling internationally; and
- interest/experience in conservation and/or development a plus.
