Contracts & Grants Finance Coordinator -- Finance & Administration Division

Position Summary: 

The Contracts & Grants Finance Coordinator will be responsible for the financial compliance and reporting of restricted funding (government, multi-lateral, foundation and corporate). Under the supervision of the Director, Contracts & Grants Administration, the Coordinator will be responsible for financial reporting and analysis, revenue reconciliation, and enforcement of applicable donor regulation expenditures. S/he will work closely with the Controller; Director, Finance & Budgeting and other Finance & Administration staff.

Responsibilties: 
  • Collaborate with Director, Finance & Budgeting on developing costing standards and cost recovery allocation model(s) for incorporation into programs’ donor cost proposals;
  • Review proposal budgets, as requested, to ensure adequate financial resources for planned outputs/results and to confirm adherence to internal costing standards, appropriate cost recovery allocation model, and donor allocability;
  • Develop and assign subaccount/project codes structure and protocols in conjunction with supervisor and Finance team to ensure compliance with donor requirements and Rainforest Alliance policy, and facilitate adequate financial management and donor and organizational reporting;
  • Monitor and report on progress made to fulfill all program cost sharing commitments as well as ensure appropriate documentation of cost share expenditures;
  • Reconcile and verify revenue and expenses budget allocations for restricted funding across programs and across fiscal years;
  • Prepare and/or review all donor financial reports for review and approval by supervisor;
  • Prepare revenue recognition journal entries on a monthly (or quarterly if appropriate) basis;
  • Reconcile and monitor for accuracy, grant fund, receivables and liabilities balances ensuring funds owed the organization are collected and liabilities accurately recorded;
  • Coordinate with staff on monitoring related cash balances in donor required segregated back accounting, reviewing transfers to field offices, and preparing or reviewing cash advance requests to donors;
  • Document feedback to field offices regarding questions or points for improvement on monthly financial reports and help ensure all points are resolved by field office accountants;
  • Coordinate the processing of journal entries and adjustments affecting donor financial reports, either by field office or in headquarters;
  • Facilitate implementation of new financial policies, procedures and systems and leads and/or participates in special projects to improve or enhance financial management;
  • Collaborate with Director, Contracts & Grants Administration and Controller to ensure compliance with organizational and donor project audit requirements; and
  • Other tasks as assigned.
Qualifications: 
  • Bachelors degree in Accounting, Business Management, or Finance;
  • 5-7 years of progressive accounting and grants administration experience encompassing A/P, General Ledger, transaction analysis, budgeting, and account reconciliation;
  • Familiarity with a multi-office, multi-national organizational environment; Nonprofit experience preferred;
  • Strong familiarity with Office of Management and Budget Circulars A-110, A-122, A-133;
  • Strong math, analytical and technical skills; highly organized with an attention to details; takes initiative; customer service oriented;
  • Excellent computer skills with advanced proficiency in Excel a must;
  • Excellent interpersonal communications skills with Spanish fluency a plus; and
  • Ability to interact professionally with culturally and linguistically diverse staff and clients.
