SmartWood, a program of the Rainforest Alliance, is the world's leading Forest Stewardship Council (FSC) forest management certifier, setting the international gold standard for credibility in auditing environmentally and socially responsible forestry. SmartWood offers a diverse set of certification and verification services, including FSC certification, legality verification, SmartLogging and carbon validation and verification. Today more than 2,700 operations spanning 68 countries have been certified by the Rainforest Alliance's SmartWood program.

Position Summary: 

The Certification Services Assistant will be responsible for providing general administrative support for certification, verification and other activities in South America, including, but not limited to, data entry, organizing meetings, workshops and training courses.

Responsibilities: 
  • Receive, process and file electronic forms and all other information related to certification and verification services;
  • Process consultant's agreements and invoices for consultants in South America;
  • Prepare service agreements for new clients;
  • Create reports for client payment deadlines and invoice balances, send clients invoices and monitor payments;
  • Correspond directly with clients of the South America Regional Office;
  • Send notification for annual audits and provide support to South America Regional Office staff, in the organization and logistics of field work;
  • Coordinate logistics for clients, auditors and staff, including travel accommodations and hotels if necessary;
  • Monitor implementation of annual audits in accordance with the scheduled date, create job status reports and send reminders of deadlines for its compliance;
  • Assist staff with the preparation of SmartWood training materials, courses, workshops, meetings and other events;
  • Assist staff with translation of documents; and
  • Other duties as assigned.
Qualifications: 
  • Degree, preferably Forestry Engineering or a related field;
  • 1 - 3 years experience, preferably related to natural resources or conservation;
  • Excellent written and verbal communication skills in both Spanish and English;
  • Strong computer skills (Microsoft Office and Internet);
  • Must be able to work independently, multi-task and work under tight deadlines;
  • Ability to work as part of a team;
  • Strong organizational skills and attention to detail.
