Position Summary: 

The Associate will be responsible for assisting the Office of the General Counsel (“OGS”) in administrative matters including management of agreement templates and translations, maintenance of records and databases and assistance with respect to regulatory filings.

Responsibilties: 
  • Assist in the preparation of regulatory filings for domestic jurisdictions, in coordination with Finance & Administration;
  • Maintain database of current agreement templates, including review, redlining and proofreading of revisions to templates and preparation of service-specific and jurisdiction-specific templates for the organization’s various programs and divisions;
  • Coordinate internally to determine need for translation of agreement templates, arrange for translations, proofread and evaluate the accuracy of translations and update translations as needed;
  • Maintain and update the OGC’s section of the organization’s intranet, including adding and organizing content for internal use;
  • Coordinate with outside counsel on the preparation of trademark applications and other matters relating to the protection of the organization’s intellectual property;
  • Assist as needed in ensuring compliance with legal and regulatory framework, including researching and gathering information with respect to legislative and regulatory developments impacting organization’s programs and activities, and maintaining related records and databases;
  • Coordinate legalization and apostillization of documents; and
  • Other tasks as assigned.
Qualifications: 
  • Bachelor’s degree required;
  • Minimum of 3 years of administrative, nonprofit organization, paralegal or other relevant experience;
  • Able to work independently and show initiative, with strong attention to detail, and excellent organizational and problem-solving skills;
  • Able to work in a team environment and to interact effectively with others internally and externally;
  • Excellent writing and verbal communications skills;
  • Excellent computer skills (comprehensive understanding of Microsoft Office including Excel, PowerPoint and Internet) and comfort working with database and content management programs (knowledge of SharePoint a plus);
  • Strong research skills and resourcefulness;
  • Able to multi-task and prioritize multiple projects;
  • Dependable, trustworthy, and able to keep confidential and properly control sensitive and confidential information;
  • Spanish and French language fluency preferred; and
  • New York Notary Public license a plus.
