ClientEarth is a non-profit public interest environmental law organisation headquartered in London with offices in Brussels and Warsaw. We are seeking an experienced Administration assistant with the skills and organisational drive necessary to support our administration team in London. The London administration assistant role forms part of a significant build-out of ClientEarth’s core administrative capacity. A strong administration team will lead internal communication within and between ClientEarth’s offices.
The successful applicant will be required to fulfil a broad and interesting range of duties, including:

Support the administrator in core administrative duties and assisting in the day-to-day running of theLondonoffice
|

Being a contact person for external enquiries, including answering the phone and sorting post
|
|
•
|
Supporting the management of the day-to-day relationship with our IT external consultant, and other suppliers
|
|
•
|
Travel booking, ordering stationery, supplies and small office equipment
|
|
•
|
Keeping track of invoices and working closely with the finance team inLondonto ensure suppliers are paid promptly
|

Provide support to the finance team to ensure data entry is completed on time
|
|

|
Maintaining induction materials for staff and interns inLondonand supporting theLondonadministrator in the management of the new starter process to ensure recruits have the necessary tools to begin work on day one

Assisting the Londonadministrator in maintaining and developing ClientEarth’s global office systems, including: o contacts database o document management system
|

Providing basic office support to our London legal team, including: o managing and demonstrating document templates in Word and PowerPoint o basic training in Word and PowerPoint o printing and binding reports

Working closely with the administrators inLondon,BrusselsandWarsawto ensure consistency of approach across offices

About you: Key soft skills: prioritisation, communication, organisation You will have at least three years experience of administrative work. Previous experience with document management systems will be highly advantageous. You will be highly organised and confident, with excellent written and verbal skills in English. You will be passionate about the environment. A strong working knowledge of Word, PowerPoint and Excel is required. Experience with databases is an advantage, and a willingness to engage in IT-related tasks. We are looking for a reliable, self-motivated individual who thrives in a team environment. The successful applicant will be solutions-oriented, able to bring imagination and initiative to the role, and will be comfortable working closely with senior staff, and with colleagues from throughoutEurope and beyond.
